Standard Terms and Conditions for booking land trips
Prices are per person, based on two people sharing a hotel room. Single accommodation is available in selected categories for an additional supplement.
Reservations and Payments:
A deposit of 10-25% of the trip price per person is required at the time of reservation. Final payment is due at least 45 days prior to departure. On certain trips, payment of a part of the trip upon arrival may be possible. Please ask our manager at the time of booking for details.
Items Not Included in the Published Price:
These include, but are not limited to, cost of passport and visas; excess baggage charges; laundry; all items of a personal nature; items not included on regular menus; expenses for additional sightseeing not specified in the itinerary; wine or liquor, unless indicated; gratuities; and health, accident, baggage, or travel protection plans.
Should you need to cancel, your cancellation must be received in writing. It will be effective on the date of receipt. Cancellation charges, per person, based upon the date of cancellation, are as follows:
Cancellations received earlier than 45 days prior to departure are fully refunded excluding an administrative fee of 10% of the sum paid.
15 - 45 days prior to trip departure - deposit.
8 - 14 days prior to trip departure - 50% of total booking cost.
3 - 7 days prior to trip departure - 75% of total booking cost.
Less than 3 days prior to trip departure or no show - 100% of total booking cost.
The trip price does not include visas, visa processing fees, travel insurance or guidebooks, which shall be 100% forfeit in all cases.
Cancellations by Nordic Travel
Nordic Travel reserves the right to cancel any trip before it is guaranteed to run. A trip is guaranteed to run once it has two fully-paid travelers, unless minimum numbers state otherwise. This applies to departures within the validity range. Nordic Travel reserves the right to cancel any trip, including a guaranteed trip, at any time prior to departure due to terrorism, natural disasters, political instability or other external events which make it unviable for Nordic Travel to operate our planned schedule. If Nordic Travel cancels a trip you may choose between an alternative trip or a full refund. The company is not responsible for any incidental expenses that you may have incurred as a result of your booking such as visas, vaccinations, non-refundable flights or loss of enjoyment, etc. If the alternative trip chosen is of a lower value than that originally booked then you are entitled to a refund of the price difference. If the alternative tour chosen is of a higher value then you will pay the difference in price.
A valid passport and visa are required to travel to Russia. Passports must be valid for at least six months after the scheduled return date of the trip. Any visa(s) or other documentation required for a particular itinerary is the sole responsibility of the guest. Nordic Travel provides visa support letter (invitation) needed to obtain a tourist visa valid for 30 days maximum.
Although every effort will be made to keep itineraries and hotels as they are shown, Nordic Travel reserves the right to substitute itineraries, hotels or vessels. In such cases, we will do everything we can to make sure the locations visited, the excursions taken and the hotels or vessels offered are similar to the ones originally planned. We reserve the right to substitute alternative transport or accommodation in the interests of the safety of our passengers and/or the successful completion of the itinerary. Any changes to itineraries will not result in eligibility for a refund. Itineraries are subject to change without notice and may need to be altered specifically because of weather or other conditions.
No refunds will be made for any part of the program in which tourists choose not to participate.
If you require us to change your booked itinerary, we will do everything possible to facilitate this, subject to your agreement to meet the costs which may be incurred. An estimate of these costs, in writing, will be provided before proceeding.
Medical Issues and Insurance:
Nordic Travel does not employ staff doctors or nurses. Should you need medical attention, it will be at local facilities, at your expense. Nordic Travel is not responsible for any costs incurred as a result of medical services, or for the quality of medical care or medical services you receive.
In case of medical problem arising during the trip, which results in costs for evacuation, use of aircraft or repatriation, the responsibility for payment of these costs belongs solely to the tourist. All tourists must be covered by travel insurance policy that includes emergency evacuation and repatriation. If not covered by travel insurance the responsibility still remains with the tourist and Nordic Travel declines any responsibility whatsoever.
Please advise the Nordic Travel manager of any specific dietary considerations and we will do our best to accommodate your request.
Gratuities, including the customary end-of-trip gratuity for the tour leader, local guides, and drivers are not included in the price of your trip. The amount of the gratuity is entirely subject to your satisfaction with your travel experience.
Responsibility and Waiver:
The responsibility of Nordic Travel LLC is strictly limited. Nordic Travel promotes and sells tour programs consisting of certain travel services on different modes of transport ("Transport"). Nordic Travel does not own or operate any of the Transport. The owners, operators and charterers ("Suppliers") of the Transport are independent of Nordic Travel. Nordic Travel makes no representations or warranties concerning the Suppliers or the Transport. We assume no liability for any acts or omissions of any Supplier including, without limitation, those involving cancellation of tours/cruises, schedule changes, rerouting, delays, damage to or loss of baggage, property damage, equipment failures, accidents, death or injuries to persons regardless of cause, whether or not services is tendered or transportation provided is arranged through Nordic Travel.
We cannot accept any claim for indirect or consequential loss arising from the failure of transport suppliers to conform either to timetables supplied by us or to their own timetables. We cannot accept any claim for shock, loss, distress, whether mental or financial, arising from deviations from operational standards by transport suppliers whose services form part of our itineraries (whether original or amended).
Nordic Travel is not responsible for omissions, printing and/or presentation errors in brochures, on Internet sites or in any other media where such information may be presented; we reserve the right to make corrections as required.
The payment of a deposit and/or the issuance of tickets or vouchers shall be deemed your consent to the terms and conditions as presented herein.
